CCMarkets4Days Events LLC General Vendor Agreement

This Vendor Agreement (“Agreement”) is entered into by and between CCMarkets4Days Events LLC (“Organizer”) and the approved vendor (“Vendor”) participating in CCMarkets4Days Events (“Event(s)”). By submitting an application, paying the vendor fee, and participating in an Event, the Vendor agrees to comply with all terms and conditions outlined in this Agreement.

1. VENDOR APPLICATION & APPROVAL

1.1 Application Process

●  All vendors must submit an application for each event they wish to participate in.

●  The submission of an application does not guarantee approval.

●  The Organizer reserves the right to accept or decline any vendor application based on

event needs, space availability, or product type to maintain variety and market balance.

●   All vendors must be 18 years of age or older. Minors are only permitted to participate if accompanied by a parent or legal guardian at all times..

●  Returning vendors must apply for each event separately.

1.2 Approval & Payment

●  Approved vendors will receive an approval email within one week of applying. 

●  If you applied and submitted payment through the website, your application will be reviewed. You will receive an email within one week notifying you of your approval status. If your application is declined, your payment will be refunded in full.

●Payment must be submitted by the deadline outlined in your approval email (if applying through Google Forms) or as stated on the official website. Failure to meet the payment deadline will result in the immediate forfeiture of your vendor spot without further notice.

● If you need to request a payment arrangement, you must contact us prior to the payment deadline. Extensions are not guaranteed and are granted at our discretion. Please reach out via email at info@ccmarkets4days.com or call/text 817-876-6494.

●  Vendor fees are non-refundable and non-transferable.

2. VENDOR BOOTH ASSIGNMENT & SETUP

2.1 Booth Assignment

●  Booth spaces are assigned at the discretion of the Organizer.

●  Requests for specific locations will be considered but are not guaranteed.

●  Booths may not be shared unless pre-approved by the Organizer.

2.2 Booth Setup

●  Vendors must ensure their setup fits within the assigned space and does not block walkways or neighboring booths.

●  A well-organized, visually appealing booth setup is encouraged to attract customers.

●  Vendors may use their own display items such as tables, racks, shelving, and tents as

long as they remain within their assigned space.

●  Electricity is limited and only provided upon prior approval.

2.3 Load-In & Load-Out

●  Vendors must adhere to the designated load-in and load-out times provided in the confirmation email.

●  Vehicles must be moved to designated vendor parking after unloading.

●  Early breakdown is not permitted unless prior approval has been obtained from the

Organizer.

2.4 Equipment & Supplies

●  Vendors are responsible for providing their own tables, chairs, displays, and other necessary equipment.

●  Tents/canopies must be properly secured with a minimum of 25 lbs. of weight on each leg.

●  Vendors needing electricity must bring their own extension cords and power strips.

3. VENDOR RESPONSIBILITIES

3.1 Products & Sales Compliance

● Vendors may only sell the products listed in their application.

● The sale of illegal, counterfeit, or offensive materials is strictly prohibited.

● Multi-level marketing (MLM) products are not permitted. Please Email for APPROVAL as some events we do allow MLM.

● Vendors must obtain all required permits and licenses for their specific products (e.g., food permits, sales tax permits).

3.2 Pricing & Sales Transactions

●  Vendors must clearly display pricing for all products.

●  It is recommended that vendors accept multiple forms of payment (cash, card, Venmo,

Zelle, PayPal, etc.).

●  Vendors are responsible for making their own change for cash transactions.

3.3 Cleanliness & Trash Disposal

●  Vendors must maintain a clean and organized booth throughout the event.

●  At the end of the event, vendors must remove all trash and debris from their space.

●  Failure to clean up after the event may result in additional cleaning fees or removal from

future events.

4. PROMOTION & MARKETING

4.1 Vendor Promotion Requirements

●  All vendors are required to promote their attendance at CCMarkets4Days Events by sharing event flyers on their social media platforms.

Vendors should tag CCMarkets4Days in social media posts:

Instagram: @ccmarkets4days

Promoting a competing event while attending a CCMarkets4Days event is strictly prohibited.

4.2 Vendor Spotlights

●  The Organizer will feature random vendor spotlights on social media.

●  Vendors do not need to submit product photos for selection.

5. WEATHER POLICY

●  CCMarkets4Days events are held rain or shine.

●  Vendors are expected to prepare for any weather conditions, including wind, rain, or

extreme heat.

●  The only exception for event cancellation or rescheduling is severe weather (e.g.,

lightning storms, tornado warnings, or extreme heat advisories).

●  No refunds will be issued due to weather-related cancellations.​

●  All CCMarkets4Days events are held rain or shine.

●  Vendors are responsible for preparing for all weather conditions, including but not limited to wind, rain, cold temperatures, and extreme heat.

●  Vendors must supply and properly secure their own tents, weights, displays, and merchandise to withstand changing weather conditions.

●  Events will only be canceled, delayed, or rescheduled at the sole discretion of CCMarkets4Days due to severe or dangerous weather conditions, including but not limited to lightning, tornado warnings, severe thunderstorms, flooding, or government-issued emergency advisories.

●  A decision to continue, delay, cancel, or reschedule an event is final and non-negotiable.

●  No  refunds, credits, or transfers will be issued due to weather conditions, unfavorable forecasts, reduced attendance, early event closure, or weather-related cancellations beyond the Organizer’s control.

●  Vendors who choose not to attend due to weather conditions will be considered voluntary cancellations and will forfeit all fees paid.

6. NO-SHOW & CANCELLATION POLICY

6.1 No-Show Policy

●  Vendors who fail to attend an event without prior written notice will be considered a no-show.

●  No-shows will forfeit all vendor fees, deposits, and payments made.

●  Vendors classified as a no-show may be permanently prohibited from participating in future CCMarkets4Days events.

●  Booth spaces abandoned during setup or left vacant after check-in time may be reassigned without refund.

6.2 Cancellation Policy

●  All vendor payments are non-refundable.

●  Vendors who need to cancel must notify the Organizer in writing via email or text at least 72 hours before the event start time.

●  Cancellation requests submitted less than 72 hours before the event are not eligible for credits, transfers, or future consideration.

●  Vendor spaces are reserved specifically for each approved participant. Once payment is made and a space is held, the Organizer incurs planning, marketing, and administrative costs that are non-recoverable.

●  Credits or transfers, if offered, are granted solely at the discretion of CCMarkets4Days and are not guaranteed.

●  Excessive cancellations, repeated late cancellations, payment disputes, chargebacks, or failure to follow event policies may result in removal from future events.

●  Filing a chargeback or payment dispute after agreeing to these policies may result in permanent disqualification from all future CCMarkets4Days events and possible collection action for recovered fees and associated costs.

7. PROHIBITED ACTIVITIES & CONDUCT

7.1 Prohibited Items

Vendors may not sell:

●  Alcohol, illegal substances, weapons, tobacco, or drug paraphernalia.

●  Garage sale items, bulk resale items, or unapproved merchandise.

●  Copyrighted or trademarked materials without proper authorization.

7.2 Code of Conduct

● Vendors must treat customers, fellow vendors, and staff with respect at all times.

●  Discrimination, harassment, or disruptive behavior will result in immediate removal from the event.

●  Vendors may not play loud music, use flashing lights, or engage in any disruptive activity.

7.3 Smoking Policy

●  Smoking or vaping is not allowed in booth spaces.

●  Vendors must step away to a designated smoking area.

8. LIABILITY & INDEMNIFICATION

●  Vendors participate at their own risk.

●  The Organizer is not responsible for lost, stolen, or damaged property.

●  Vendors agree to indemnify and hold harmless CCMarkets4Days Events LLC, the

event venue, and all affiliated parties from any claims, damages, or liabilities.

●  This agreement releases CCMarkets4Days Events LLC from any and all liability

related to personal injuries and/or property damage that may occur during a CCMarkets4Days Events LLC Event By signing this agreement, I acknowledge and agree to the following terms:

  1. I fully release CCMarkets4Days Events LLC from any responsibility for injuries or damages to my person or property, including any financial obligations arising from such incidents, regardless of whether they are caused by negligence.

  2. I understand and accept that certain risks are inherent in participating in this event, including, but not limited to, damages due to uncontrollable factors such as acts of God or other unforeseen circumstances. These risks have been clearly communicated to me by CCMarkets4Days Events LLC

  3. I am participating in the CCMarkets4Days Events LLC event voluntarily as a vendor, and I take full responsibility for any risks associated with this participation.

  4. I agree to reimburse CCMarkets4Days Events LLC for any damages I may cause to the event property, equipment, or materials, whether the damage was intentional or accidental.

  5. I acknowledge that CCMarkets4Days Events LLC and its staff reserve the right to refuse entry, participation, or continued presence at the event at any time and for any reason, without issuing a refund of the vendor fee.

● By signing up, I forfeit any right to pursue legal action against CCMarkets4Days Events LLC for any reason. I also agree to follow all safety protocols and will seek clarification when needed.

9. GENERAL TERMS

9.1 Governing Law

● This Agreement is governed by the laws of the State of Texas.

9.2 Amendments

●  The Organizer reserves the right to amend this Agreement at any time.

●  Vendors will be notified of any changes.

9.3 Agreement Acknowledgment

● By submitting an application and making a payment, the Vendor acknowledges and

agrees to the terms outlined in this Agreement.

By participating in any CCMarkets4Days Event, the Vendor agrees to all terms in this Agreement.
